Start with an outcome, not a call count

An outbound campaign is useful when it produces a recognisable next step: a confirmed appointment, a qualified enquiry or an agreed callback. Attempt volume alone does not show whether a list is creating value.

Choose one goal for the first trial. For example, follow up with people who requested information and identify those wanting an appointment. This is an illustrative use case, not a result already achieved by a customer.

Prepare the context before launch

The agent needs to know why it is calling and what it can offer. Custom fields can carry the requested product, location, previous interest or useful notes. Include only information needed for the use case.

  • Define which contacts to use and who checks they may be called.
  • Separate priority, requested calling time and maximum attempts.
  • Agree what to collect, what to confirm and when to stop callbacks.

Separate attempts, conversations and outcomes

An unanswered call is not a conversation; a conversation is not automatically an opportunity. Keep reached contacts, qualified enquiries, requested callbacks and completed actions separate.

When a contact requests a callback, record the next step. If an appointment is not recorded in the connected calendar, the outcome remains a request to check, not a confirmed booking.

Evaluate the campaign with clear measures

Compare manual and assisted work using comparable lists and periods. Count unique contacts reached, not just repeated attempts to reach the same person.

Cost per useful outcome is the cost included in the evaluation divided by verified outcomes. State whether it includes setup and human review. Without verified outcomes, that cost cannot yet be calculated.

  • Contacts reached relative to contacts worked.
  • Verified useful outcomes relative to conversations.
  • Open requests and time spent by the team.

Does the dialer also provide human-agent seats?
